TripS NEWS from Tom Grayson
If you went with us this past season on one of our trips, thank you! The Big Sky, MT trip was the largest trip in Club History with 185 people. We sold this trip out 3 times and learned some good lessons with the number one lesson being that it was too large and our lodging was spread out too much. We started out with a 130 person lodging capacity and didn't want to turn anyone away so we added lodging until it was all gone. We were spread out all over the mountain in 5 different locations. We learned our lesson and will not do this again. We also ran successful trips to Snowshoe, WV and Crested Butte, CO. The snow/slope conditions were fantastic on all of our trips this past season.
If you responded to the survey the Club sent out last month, thank you! We have addressed many of the suggestions for the 2020 Trips. We believe you will like what we are offering and especially the pricing! The winner of our survey contest drawing was Margaret Bishop with the Cape Fear Ski Club. She won a prepaid gift card in the amount of $240 (equivalent of 3 day lift ticket). Congratulations Margaret!
All of our Club Trips this coming season will be to resorts that honor the IKON Pass. This is a good deal on the base pass if you are going to ski at least 8 days. If not, you are better off taking the group lift pricing with our trips. We have very good group rate lift ticket pricing on Snowshoe, Snowmass, and Steamboat for 2020. The IKON Pass purchase through the trip is an add on price in addition to the 5 day lift ticket price so it is a little confusing. Even though you will have the ability to buy an IKON Pass through the Snowmass or Steamboat Trips, we recommend you purchase your IKON Pass separately at the Club/SAT link for the same discount: http://www.sportsamerica.com/ikon-charlotte .
For the best pricing, you need to purchase your IKON Pass by 12 noon on May 1st - payment in full (credit card) is required at time of purchase and there are no refunds. There is a conditional refund/insurance policy for specific reasons for an extra 6% of purchase price.
We will do online registration again for our Western Trips through Sports America Tours. They have a new look online registration form with some great new features. One of these is the ability to sign up to 4 family members at once (this only applies if one person is paying the full invoice but should be a good feature for families and couples). If guests are paying their own way, then they will enter as one person as before. You can wait to add trip insurance up to the last scheduled payment date (December 1, 2019).
The Early Bird Trip Deposit is only $100 to hold your spot. The other trip payments are due August 1st ($200), October 1st ($500), and December 1st (remaining trip balance). Payment can be by check or credit card (a 3% service fee is charged on credit card transactions). New this year, you can mix and match how you pay. You will either send in a check to Sports America Tours on the due date or direct charge your credit card on due date. Sports America Tours will no longer hold your credit card numbers and make the charge transaction. You will charge your credit card for the amount at the time it is due.
Also new this year, you will be able to make credit card payments for Snowshoe Trip deposits on the Club website. This feature will be coming sometime this Summer (June/July). The Snowshoe Trip registration hard copy form will be available at the May 13th Club Meeting. All next season Trip Flyers are now listed on the Club Website and attached for your convenience.
The online registration forms now feature a preview mode to go through all of the trip options and pricing. There is a new membership page that everyone has to complete. It has been moved from the activity page. There are 2 options for membership, either you are a current member, or you will be a new member of the Club. Current members will have to renew their membership when it comes due October 1st. New members will be extended to the 2019/2020 season.
Also new this season, all trip members have to be Charlotte Ski and Snowboard Club Members. This addresses Crescent Club Members who now have to join our club to go on one or more of our trips. This is in response to the IRS Guidelines for Non Profit Corporation Club Membership, liability issues, and the fact that other Crescent Clubs make our Club Members join their respective Clubs to participate on their Club Trips for the same reasons. We hope everyone understands our position. Members of other Crescent Clubs are welcome to join us but you will be required to join our Club. We have single and household memberships available.
We have not listed pricing on the Group Air options to Eagle and Aspen nor the ground transfers from Eagle, Aspen, and Denver. We learned this past year that we can get better pricing by waiting until July after the airlines add more flights. There is an option that says that you would like to use the Group Air flights out of Charlotte and if you select this option you will be notified when the flight information and prices are finalized at which time you can add this option to your trip profile at no change fee. You can of course arrange you own air travel as before.
The same applies to the Steamboat Trip where we will have Group Air flights out of Charlotte going to Hayden and Denver Airports along with ground transfers from both airports to the Steamboat Resort. This is more work for us, but it provides you the best prices possible.
One of the suggestions from the survey was to take some of the costs out of the trips. We have done this everywhere it makes sense. As a result, there are more trip options this year on our trips. One of those is the Trip Dinner. This year, the Thursday Night Trip Dinner will be an additional $35 per person if you wish to go. This is a great value. We are subsidizing the trip dinner out of Club funds so it is not costing anyone extra. We hope that we will continue to have great attendance for our Trip Dinner. This option will have to be selected by December 1st if you wish to participate.
Another area is the ground transfers. We are now making this an option priced from the airport location. Instead of having one encompassing price, each price will be from the airport location based on round trip transfers. An example for the Aspen Snowmass Trip - the lowest priced ground transfer is from Aspen Airport, the next lowest price is from Eagle Airport, and the highest ground transfer price will be from the Denver Airport. Again, you can choose no ground transfers if you wish to arrange your own. Another area we are addressing in ground transfers is in the use of buses. We will use buses where they make sense as with the Group Air flights, but we will use more shuttles where we can reduce wait periods and loading/unloading hassles.
The Aspen Snowmass Trip is now ready for registration! Please go to: http://cssc-snowmass.sat.tours
The Steamboat Trip registration form currently has a glitch in the Begin Registration Button but should be fixed sometime tomorrow for your use. The preview mode is working for trip information and pricing. Please go to: http://cssc-steamboat.sat.tours
Please contact any of the above Trip Leaders with any trip questions you may have. Please contact a Trip Leader first before calling or contacting Sports America for the quickest response. We may be more easily equipped to answer your question quickly.
I am on the Leadership Team for the Wells Fargo Championship (PGA Tour Event) all week and I will be at the tournament with limited access to calls and email. I will answer any questions sent to me as soon as possible after I get home each night. I will have more availability starting on May 6th.
Please share/forward this email with your friends! Both of these trips will sell out fast.
